Job description

We are seeking an exceptionally bright, conscientious, and detail-oriented Client Service and Office Manager with excellent interpersonal skills and a strong work ethic to join our  team. The role provides exposure to Senior Management, Portfolio Management/Trading, Research, Operations, and Compliance and is an opportunity to join a high-caliber and expanding team. We are looking for a self-motivated, positive, accountable professional who has demonstrated the ability to work under pressure, manage deadlines and is willing to provide hands on support.  Most importantly, the candidate must share in our best-in-class client service and corporate governance and compliance philosophy, which emphasizes accuracy and timeliness in all internal and external communications.

Duties and responsibilities

Responsibilities will include:
  • Communicating with investors/clients
  • Creating and maintaining fund marketing materials as well as ad-hoc marketing and due diligence materials
  • Working across several teams to obtain information in order to prepare communication materials including investor letters, performance updates, risk reports, pitch books, and client statements for investors
  • Assist clients with general questions as well as requests such as new fund subscriptions, account contributions, distributions, address changes, and web access
  • Documenting all client interaction and tasks in client relationship management system
  • Overseeing the establishment of client files in accordance with required guidelines
  • Assisting with building and documenting operational and compliance policies and procedures
  • Developing and maintaining a thorough understanding of and adherence to ever-changing company and industry compliance requirements
  • Authoring and editing Due Diligence Questionnaires (DDQs)
  • Assisting multiple executives with daily operations and special projects
  • Supporting senior professionals with strategic projects 
  • Maintaining the firm’s website
  • Cross-training on duties of the operations/accounting department
  • Responsible for the day-to-day operations and administrative functions of the firm
  • Providing general office administrative support - including answering phones, greeting clients, processing mail, managing office calendar, managing files, and  organizing travel
  • Performing any and all additional duties as assigned by senior management

  • Bachelor’s degree required
  • Client service experience
  • 3+ years of experience in the financial services industry
  • Private equity or hedge fund firm experience a plus
  • Strong Word, Excel and PowerPoint skills
  • Impeccable attention to detail and the ability to multi-task
  • Demonstrated ability to communicate effectively both written and verbally, internally and externally on behalf of the organization
  • Strong communication and interpersonal skills
  • Ability to establish and maintain a positive and professional relationship with co-workers, clients and visitors
